This Privacy Policy explains what personal data we collect when you visit our website, fill out a form or book a call with us, why we collect it, and what rights you have. By using our website, you agree to the practices described here.

MapsTell is the data controller responsible for the processing of personal data described in this policy.
This policy covers our website mapstell.com. The PersonalMap questionnaire, the Guide Dashboard and the GuideJourney learning environment have their own privacy terms, which you receive when you start using them.
2. What data we collect
2.1 Data submitted through our forms
When you fill out a form on our website, for example to request a callback, find a Guide, register for Guide certification or download the Exploration Guide, we collect the information you provide. Depending on the form, this may include:
- Name
- Organisation or company name
- Email address
- Phone number
- Country
- Your role or the type of work you do
- Your question, needs or project details
2.2 Discovery calls and WhatsApp
When you book a Discovery Call, we collect the details you enter in the booking tool, such as your name, email address and chosen time slot. When you contact us through WhatsApp, we receive your phone number, your WhatsApp profile name and the messages you send us.
2.3 Automatically collected data
When you visit our website, we may automatically collect certain technical data, such as IP address, browser type, device information and general usage statistics. When you submit a form, we also record how you found our website (such as the referring website or campaign source), so we understand which channels bring people to us. This happens through cookies and similar technologies, see Article 7.
3. Why we collect this data
We use the data you provide to:
- Get in touch with you regarding your request
- Schedule a Discovery Call or callback
- Connect you with a suitable certified Guide, if you ask us to
- Handle your registration for Guide certification
- Send you the Exploration Guide or other requested materials
- Send you a confirmation email
- Improve our website and services based on aggregated, anonymised insights
We process this data on the basis of your request (to take steps at your request before entering into an agreement), the performance of an agreement, or our legitimate interest in following up on enquiries and improving our services. We do not use your data for purposes incompatible with these goals, and we never sell your data to third parties.
4. How form data is processed
To follow up on requests quickly and carefully, MapsTell uses an automated workflow. When you submit a form on our website, the following happens:
- Your data is checked for spam before further processing.
- Depending on the form type, your data is routed to the appropriate internal workflow.
- Your data is recorded in our customer relationship management system (Zoho CRM) so our team can follow up on your request.
- You receive an automated confirmation email.
- A member of our team, or a certified Guide if you asked to be connected with one, then reaches out to you personally.
This workflow runs through automated tools (including n8n) used solely to route and follow up on your request internally. No automated decision-making that produces legal effects concerning you takes place.
5. Who we share data with
We only share your data with parties necessary to carry out the purposes described above, including:
- Webflow as the hosting provider of our website
- Zoho (CRM and Bookings, EU data centre) for managing requests and scheduling calls
- n8n for automating form processing
- Strato for email
- Bunny.net for storing and delivering downloadable files
- WhatsApp (Meta), only if you choose to contact us through WhatsApp
- Certified MapsTell Guides, only if you ask us to connect you with a Guide, and only the details needed for that introduction
Data processing agreements are in place with these parties where applicable, or their own privacy terms apply. We never share your data for third-party marketing purposes.
6. Transfers outside the EEA
Some of the parties above, and some certified Guides in our international network, are located outside the European Economic Area. When your data is transferred outside the EEA, we make sure appropriate safeguards are in place, such as an adequacy decision of the European Commission or the Standard Contractual Clauses.
7. Cookies
Our website uses cookies and similar technologies to ensure the website functions properly and to gain (anonymised) insight into how the website is used. On your first visit, where legally required, we ask for consent for non-essential cookies. You can adjust your cookie preferences at any time through the cookie settings on our website.
8. Retention period
We do not retain personal data longer than necessary for the purposes for which it was collected. Data from requests that do not lead to an agreement is deleted after 24 months, unless you request earlier deletion or a longer retention period applies, for example under Dutch tax retention obligations once an agreement has been formed.
9. Your rights
Under the GDPR, you have the following rights regarding your personal data:
- Right of access
- Right to rectification
- Right to erasure
- Right to restriction of processing
- Right to object
- Right to data portability
- Right to withdraw consent at any time, where processing is based on consent
You can submit a request via info@mapstell.com. We will respond to your request within one month.
You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or the data protection authority in your own country.
10. Security
MapsTell takes appropriate technical and organisational measures to protect your personal data against loss or unauthorised processing.
11. Changes
MapsTell reserves the right to amend this privacy policy. The most current version is always available on our website.
